● To provide services: If you are a client, we process your data to deliver accounting services, invoice you, and maintain communication (Article 6.1.b – performance of a contract).● To comply with legal obligations: For anti-money laundering checks, we process data under Article 6.1.c – compliance with a legal obligation.● Marketing purposes: We may process certain data under legitimate interests (Article 6.1.f) or as permitted under the Privacy and Electronic Communications Regulations 2003 (amended).
If you fail to provide data required for the performance of a contract, we may be unable to deliver our services.

Data We Collect 

If you are a client, we may hold:
● Your full name, postal and correspondence address, email, and phone number(s).● Date of birth, gender, marital status, dependants, and next of kin.● Unique Tax Reference (UTR) number, National Insurance number, and other government identifiers.● Photograph and signature.
If you are a prospective client, we may process:
● Your full name, email, phone number(s), and postal address.● Government identifier and photograph.We use this data to provide services, comply with legal obligations, and communicate with you.

Marketing 

For corporate entities, we may send updates and information as a legitimate interest activity (Article 6.1.f). For sole traders or individuals with whom we have discussed services, marketing is permitted without explicit consent under the Privacy and Electronic Communications Regulations 2003 (amended). You can opt out of communications at any time.

Who Will Receive Your Data

We will not transfer your personal data to third parties without your permission, except in the following circumstances:
● Debt recovery: If you fail to pay invoices, we may engage a third party for collection (Article 6.1.f – legitimate interest).● Legal obligations: We may disclose information in response to court orders or as required by anti-money laundering regulations (Article 6.1.c – legal obligation).● Government authorities: HMRC and Companies House may receive data as required by law (Article 6.1.c – legal obligation).● Internal sharing: Data may be shared within our organisation to ensure the best service.● We also engage third-party service providers for accounting, credit checks, video conferencing, and other business activities. These providers are subject to data processing agreements as required by Article 28 of the UK GDPR.

Data Shared Outside of the UK

We do not share your data outside the UK.

Retention of Data

We retain data only as long as necessary for the stated purposes or as required by law:
● Client data: Retained for the duration of our relationship and 7 years thereafter (to comply with HMRC requirements).● Prospective client data: Retained for 2 years from last meaningful contact unless you request removal. Minimal data may be kept to prevent re-addition to mailing lists.● Due diligence data: Retained for a minimum of 5 years.

Security 

We implement technical and organisational measures to protect your data, including:
● IT systems secured with anti-virus and anti-malware software.● Data encryption using Secure Sockets Layer (SSL).
